University Accounting: Financial Specialist II
Job Information
POSITION: A full-time university staff position is available in University Accounting beginning March 3, 2025. The working title for this assignment is Financial Specialist II – University Accounting with an official title of Financial Specialist II. This is an expected-to-continue assignment which requires a six-month probationary period. The expected hourly hiring salary will be $18-20 per hour, based on qualifications and experience.
MINIMUM QUALIFICATIONS: Experience establishing and maintaining working relationships with individuals at all organizational levels; must have effective oral and written communication skills; working knowledge of Generally Accepted Accounting Principles (GAAP); experience with financial software packages (e.g. PeopleSoft, Workday)
PREFERRED QUALIFICATIONS: Associate or bachelor’s degree; 2 years of experience in accounting, finance, or related field
DUTIES:
Position Summary:
This position will be the on-campus travel point of contact that will include answering travel and reimbursement questions and directing campus travelers to the appropriate place for further assistance as well as handling cash advances. This position will also be responsible for assisting the University Accounting, Accounts Payable, and Procurement departments with various tasks. It is essential to interpret applicable Federal, State, & Institutional rules and regulations for propriety and legality of purchases according to the UW System procurement manual. The position requires a working knowledge of generally accepted accounting principles, procedures, and standards, as well as the ability to correctly interpret, apply, and communicate financial information to university administrators. This position will act as a liaison to unit leadership and is responsible for training campus units on financial processes and best practices, being a lead resource. This position reports to the Controller under general supervision.
General Duties include but are not limited to
- On-campus travel point on contact -- provide support for staff booking travel and seeking reimbursement, resolution of travel-related issues
- Train, reconcile, deposit Cash Advances
- Run daily Paycycle -- run accounts payable paycycle check processing, determine and correct any errors based upon review of reports
- Student organization payments using Quicker
- Run Allocations
- Determine, prepare, and process salary transfers/direct retros as required in HRS (Human Resource Software). Work with campus departments to determine correct funding and with Human Resources to ensure proper funding is set up going forward
- Daily Cash Accountability
- Foundation Invoicing
- Procurement Travel Log Audits -- audit card logs, receive and receipt repayments, cross-check with related expense reimbursement reports
- Procurement Card Increases
- Debit Card Program Assistatn
- PCI Compliance Program Assistant
- Accounts Payable department assistance back-up
- Procurement department assistance back-up
- Other duties as assigned
