POSITION: Provide administrative support to the UW-Eau Claire Foundation President, Vice President and leadership team. Additionally, provide support to the UW-Eau Claire Foundation Board and Blugold Real Estate.

Basic Functions and Responsibilities

Provide administrative support to the Foundation Executive Team, Board of Directors and Blugold Real Estate - 50%

Manage administrative functions of the Foundation office including: all-staff communications, prepare agendas and schedule leadership and all-staff meetings, prepare and process daily letters and communications for the President and Vice President, handle incoming communications (calls, emails & visits) from alumni, donors, guests. Plan and coordinate special functions of the Foundation office. Coordinate communication with other departments within the University.

Communicate with directors, both written and orally, on behalf of the UW-Eau Claire Foundation President. Handle all administrative details for all board and committee meetings and maintain accurate listings of past and current board members. Assist with other board scheduling and functions as needed.

Major Gift Operations and Donor Recognition - 30%

Support fundraising and other outreach with donors and stakeholders. Audit contact reports, monitor open actions, edit and update information on donor records to ensure constituent records are accurate and current. Monitor weekly and monthly Quality Assurance items and communicate items that need attention. Prepare monthly reminder letters and provide feedback on database action items to ensure prompt and timely follow-up. Assist with donor visit preparation, including generating donor reports, history and demographic information.

In the absence of a development officer, assist donors who call or visit the office. Generate and assist with outgoing stewardship mailings as well as other duties assigned to support the development and stewardship teams.

Stewardship and Operations Support - 20%

Keep donor records accurate with updated demographic information. Maintain confidentiality in record keeping. Assist with other events, projects or mailings in partnership with the stewardship and operations teams as needed.

THE UNIT: The Alumni Development Unit consists of 25 colleagues focused on and committed to the proactive engagement of alumni and friends in supporting the University of Wisconsin-Eau Claire. This includes annual, major, and planned giving programs to effectively generate private resources for the University's benefit. The staff includes development officers who work in areas cultivating, soliciting, and stewarding alumni and friends of the University. The unit works on effectively communicating and engaging the more than 97,000 alumni and more than 10,000 annual donors to the UW-Eau Claire Foundation.
